Two-in-one hybrid Annual Members' Meeting (AMM)

The BDÜ North Rhine-Westphalia and Baden-Württemberg regional associations held their annual members' meetings (AMM) together in a hybrid format this year, with Brähler Convention as a technical partner. Coping with the COVID-19 pandemic so far has shown: Combining a face-to-face meeting in a small setting with a predefined hygiene concept, while also providing members with the possibility of participating electronically, allows for optimum planning security with the aim of reaching the maximum number of participants.

The live broadcast for BDÜ NRW took place from the 165m² studio at Brähler Convention's head office in Königswinter. The BDÜ Baden-Württemberg AMM was streamed externally from the 'Saal Maritim' of the Maritim Hotel Stuttgart.

ZOOM Pro Webinar was the digital platform used for the online conference, enabling over 200 participants to actively follow the AMMs on both days. Germany was chosen as the location of the data-processing centres for both events, so as to guarantee a high level of transmission security.

The setup on site consisted of a U-shaped boardroom table, with all places equipped with Brähler CMic series microphone consoles. As a special feature, Brähler Convention event technicians installed the unique 'Delegate Spotting System'. A special software registers a request to speak at the microphone consoles and directs PTZ cameras (pan-tilt cameras) towards the conference participant. While one participant is speaking, the other cameras position themselves in preparation to capture subsequent speakers in the image. It's not until the microphone is switched on that the system switches to the next free camera and to the next speaker. This means that there are no delays in the conference due to camera movement and each speaker is presented in the best possible way.

The agendas of both national associations included the election of the board members as well as various votes on budget and members' motions. The Brähler technical team was ready to answer participants' technical questions at any time parallel to the ongoing live transmission. “Although it's not a 1:1 substitute for face-to-face meetings, an annual members' meeting in hybrid format is currently a very good alternative, thanks also to professional technology from a single provider," summarised the member associations of the German Federal Association of Interpreters and Translators (BDÜ).
